    General Description:

    The role is responsible for daily distribution operations ensuring effective monitoring of customer orders, prices, invoices, and deliveries for both principal and back-up assigned countries in Europe, as well as accurate customer data management through the whole lifecycle (data creation, validation, maintenance, requalification, and deactivation). Key to the role, is the ability to communicate to internal and external customers to advise them of order status and provides pro-active communication.

    Essential Functions of the job:

    1. Order-to-Delivery/Invoice operations:

  • Ensures daily operations run smoothly and comply with established Standard Operating Procedures (SOPs) and Work Instructions (WIs) in accordance to GDP.
  • Closely collaborates with Third-party Logistics (3PLs) to ensure that all orders and shipments are tracked/delivered on time.
  • Processes credit notes, debit notes and product return according to established SOPs.
  • Acts as the main contact for internal stakeholders and in-country partners (BeiGene Finance, Quality, Supply Chain, Regulatory, Commercial teams) on all distribution-related activities and supports collection of order-to-delivery/invoice data and reports.
  • Ensures effective communication with customers and provide information and resolutions in a timely manner.
  • Logs distribution incidents and analyses data to optimize operations in scope (incorrect orders, customer address, mode of transport, delayed shipments, etc.)
  • Understands basics of temperature-controlled shipments (ambient and cold chain).
  • Initiates Quality deviations in Veeva QMS for events impacting the quality or safety of BeiGene products (product returns, damage, etc.).

    • 2. Customer Management (onboarding):

  • Onboards new customers according to established SOPs and WIs ensuring accurate data is maintained into BeiGene SAP master data.
  • Timely plans, executes and properly documents the annual customer revalidation, ensuring compliance with GDP requirements and country-specific documents/licenses.
  • Runs regular sanity checks to ensure customer data accuracy and completeness (Payment Terms, Tax codes, credit limits, complete order/billing execution, etc.).
  • Communicates to external customers to obtain relevant documentation in accordance with internal procedures.

    • 3. Performance & Continuous Improvement:

  • Participates in Weekly, Monthly and Quarterly Business Reviews with 3PLs.
  • Helps identify standardization and optimization opportunities for distribution processes across Europe, with a focus on lead time, quality, and customer experience.
  • Pro-actively helps maintain up to date SOPs and WIs.
  • Supports global projects as well as system enhancement and new feature development aimed at simplifying distribution operations.

    • Qualifications:

  • Associate Degree and or equivalent.
  • Minimum 3 years of work experience in a pharmaceutical/medical device industry in distribution or customer service.
  • English is a must, any other major European language a plus.
  • SAP SD/MM experience.
  • Veeva Knowledge is a plus
  • GDP Knowledge.
  • Tenders and EDI knowledge.
  • Experience in a small but fast growing, entrepreneurial commercial environment.
  • Ability to prioritize and focus on detail.
  • Proactive attitude with sense of initiative.
  • Solution oriented and and customer focus.
  • Track record of making things happen.
