_ This is a temporary position for approximately 6 months with possibility to extend for 1 year._

Administrative Assistant (50%)

Position purpose:


The Administrative Assistant will provide high quality proactive support to a global team of 18 members, based mainly in Geneva.

You will manage the administrative tasks and ensure high-quality and timely support in a dynamic and fast-paced multicultural environment.


What will you do - responsibilities:

  • Organizing team offsites
  • Supporting with event management and logistics of various events
  • Providing onsite support during meetings/events
  • Managing calendars, finding common availabilities and coordinating among the team
  • Organizing recurring meetings
  • Settingup mailbox lists, manage SharePoint accesses, creating B2B accounts
  • Contributing to the internal and external portal by uploading/tagging, executing administrator's tasks, etc.
  • Admin tasks for onboarding new members in the team
  • Create Purchase Requisitions, Purchase Orders, Goods Receipt

Who are we looking for - requirements:

  • Minimum of 5 years of experience in a similar position
  • Flexible, proactive and openminded
  • Collaborative and resourceful with a positive mindset
  • Very good organizational skills
  • Ability to work effectively under tight deadlines, whilst maintaining high standards of accuracy and attention to detail in all aspects of work
  • Digitally savy with very good knowledge of the MS Office & SAP (Purchase Requisitions, Purchase Orders, Goods Receipt)
  • Ability to adapt to new IT tools
  • Excellent written and verbal communication skills in English, French as an assety
  • Immediately available
