We are looking for a Workplace Experience Coordinator for our Integrated Facilities Management business line. This is a part time position, 20 hours per week.

What this job involves

Essential Functions


Parking Management:
Onsite/ Offsite parking access & cancellation management, invoicing and monthly payroll; close contact with Security team for all information needed

Support the Facility Management team onsite with daily customer requests

Coordination of small initiatives for improving EX (Employee Experience)

Site Signages and Communication on different Facilities aspects

Back-up for TPG - Manage Public Transportation Bus orders, renewal and cancellation, subscription refunds and monthly payroll

Back-up for Geneva Company Shop operations - Monthly incomes and sales

Operational and financial management of the vendors in the area of responsibility, including procurement and forecasting.

Preparation, creation/good receipt, update and cancellation of purchase orders

Health & Safety - monthly safety checks to ensure that the workplace is kept safe and tidy; procedures and processes updates

Solution to customer issues in a friendly and co-operative manner with politeness on general facilities requests

Manage a seamless interface of Hospitality to deliver a superior experience to End Users

Other duties as assigned


Additional duties and responsibilities:

Client Management
Strive to "delight" the Client in all aspects of service delivery.

Develop close understanding of P&G organization and strong network through End Users.

Ensure feedback from client sessions is recorded and timely addressed.

Create visibility for the JLL Team on site and promote JLL activities.

Site Service Delivery Management.
Ensure general administrative activities under your control are conducted in a timely and efficient manner

Work with Manager to develop and implement new processes that improve service & customer satisfaction and /or reduce cost.

Provide a responsive and pro-active service via seamless interface with all involved parties.


Ensure and complete periodic reporting to meet client expectations and internal requirements, and management reports as required, especially for audits.

Update regularly the Facilities intranet page

Health and Safety Management
Conduct monthly/quarterly Health & Safety checks

Work in close contact with the HS&E SPOC onsite (help with delivering HS&E action plan)

Finance Management
Ensure End to End process delivery of all procurement activities for your services according the forecasted budget

Required Knowledge, Skills and Abilities (KSA)
Well organized, pro-active and flexible

Results-oriented.

Working effectively with others

Comfortable with Word for Windows, Excel, PowerPoint, Outlook

Ability to work under pressure and within deadlines

Ability to self-manage, balancing multiple priorities and customers.

Fluent English & French (spoken & written)

Supervisory Responsibilities
The position has no subordinates.

Working Environment
The role is located at P&G HQ office in Geneva, working in the Workplace Experience Team. Daily interaction with customers & partners onsite. The role is on-site, daily 4h/day with flexibility for hybrid (1-2 days/week home) if aligned with manager.

Minimum Required Certifications, Education and Experience
2-3 years' experience in an administrative/coordinator position, ideally in an international environment.
