    Role & Responsibilities

    • Provide input for the International Programmes Department (IP) to the development of new digital systems to improve finances, budgeting, reporting, resource planning and supply chain management. Collect input from staff based at GSO and all country programmes. Act as a key link between the Financial planning and analysis (FP&A) project team and a stakeholder in the Supply Chain Management (SCM) project for IP staff to ensure the IP perspective is considered during the development and implementation of critical new systems.
    • Scope of the FP&A project: budgeting, budget allocation to donors, planning & forecasting, reports (donor & internal) and analysis.
    • Scope of the SCM project: procurement, warehousing, and fleet/equipment.

    Project Overview

    The International Programmes Department is accountable for delivering Medair's humanitarian services in the field efficiently and effectively, supported by technical advisors, the Global Emergency Response Team, and Country Program focal points.

    Workplace & Working Conditions

    This is a GSO position in Ecublens, Switzerland. Swiss or eligible EU citizens, or those with a valid work permit for Switzerland, can apply. Remote work may be an option under certain conditions.

    Starting Date / Initial Contract Details

    Full-time contract for 12 months, starting as soon as possible.

    Key Activity Areas

    • Financial planning and analysis core team member
    • Represent the IP department and International Country Programs (ICPs) within the FP&A project to deliver solutions and drive digital transformation based on Medair's needs. Liaise with the IP BPO and Heads of Country Programs (HCPs) to address key issues in solution design and collaborate with stakeholders to map out current and future processes.

    User Requirements

    • Define user requirements that align across all departments and stakeholders, engage with third-party providers to determine the best solutions, and review Solution Designs.

    System Evaluation and Selection

    • Participate in evaluating potential platforms and providers against selection criteria to ensure optimal decision-making.

    System Configuration

    • Contribute to designing and configuring the budgeting and forecasting tool, and define data mapping and integration requirements for seamless data flow.

    Quality and Compliance Assurance

    • Identify opportunities to enhance budgeting and forecasting processes, ensure compliance with regulations, policies, and maximize service delivery and donor synergies.

    Change Management

    • Support change management efforts by providing updates, highlighting best practices, and training end-users post-implementation.

    User Acceptance Testing

    • Review design documents, develop user stories, participate in UAT, and provide support to stakeholders.

    End User Training

    • Align training with Medair's policies, assist in EUT, and ensure users are proficient in system use.

    System Support and Roll-out

    • Monitor end-user support, provide feedback on policy changes, and assist in problem resolution post-implementation.

    SCM Stakeholder

    • Drive solutions and digital transformation in SCM, engage in project discussions, and support UAT and end-user training.

    Support to IP Department & ICPs

    • Assist in resolving issues with digital systems, identify and propose solutions with the aim of continuous improvement.

    Team Spiritual Life

    Qualifications

    • Bachelor's degree in Business Administration, Supply Chain, Engineering, Computer Sciences, Information Systems, or related field. Proficiency in English, French, and/or Arabic is advantageous.

    Experience

    • University degree in humanitarian studies, a minimum of 5 years of professional experience, with at least 1 year in a fragile State and Medair experience. Strong knowledge of Medair processes, computer skills, and experience in humanitarian projects.
    • Advanced planning, assessment, analytical, change management, and audit skills.
