General Description
The Personal Assistant to the Director oversees and manages the schedule for the school Director. They
also support (and at times even lead) projects and events the Director is responsible for throughout the
year. The handling of confidential and sensitive matters being an integral part of the role, work at highest
levels of integrity and trustworthiness is expected. This is a dynamic and diverse role with a wide range of
activities which require great organisational and communication skills.
The Personal Assistant reports to the
Director and works closely with the Director of Operations' Personal Assistant.

The Personal Assistant to the Director is expected to:

General Responsibilities
Be the point of contact for staff members, parents, board members, leadership team members
- and external partners
  • Ensure the operational daytoday business (manage the agenda, make appointments for the
  • Director and ensure followups)
  • Support with the logistics of meetings, events, conferences, governance events, travel schedules,

- etc.
  • Organise meetings and take minutes
  • Translate documents to and from English and German
  • Assist with the recruitment of teaching staff members, as required
  • Plan, design, and implement different projects
  • Proactively monitor project progress, resolve issues, and initiate corrective actions as appropriate
  • Structure and coordinate project specific activities
  • Respond to a wide variety of internal inquiries for the purpose of resolving problems, providing
- information and/or referring to appropriate personnel
  • Collaborate with other personal assistants and share work (at times)

Required and Preferred Qualifications
Ability to work in a diverse, international community that is also deeply connected to the local
- community
  • Several years of experience in a similar position, including project management/support
  • Experience in event management and open to work with various school stakeholders
  • Exceptional organisational skills, attention to detail and highly reliable
  • Highly motivated, flexible and open
  • Highly professional and high ethical standards
  • Exceptional customer service
  • Ability to manage a variety of tasks/projects, concurrently and efficiently
  • Committed team player
  • Ability to be selfdirected and work with mínimal supervision
  • Ability to work evenings and weekends, as needed, in support of the Directors, Leadership and
  • Board initiatives and events
  • Proficiency in using standard office suites for business such as Microsoft Office and Google
  • Workspace and demonstrated knowledge of database maintenance
  • Native English speaker and fluent in German (written and spoken)

Compensation
Compensation for this position will be commensurate with the responsibilities of the position and is very
competitive globally.
