The Role:
Key Responsibilities / Tasks (duties include but are not limited to the following):

Client Services:

  • Switchboard operator: to manage, filter, and forward the external calls. To take messages for employees
  • Office and Security: office supplies stock management by ordering and keeping consistency in order
  • Daily closing of the building and vault, registration of the external people entering the building coming with the distribution of temporary badges to visitors and external suppliers
  • Mail: to receipt and redistribution of the arriving post mail
  • Reception: welcoming everyone entering the office, guiding and informing clients and visitors about our services
  • Catalogues: advise clients on catalogue subscription / suggest online catalogue orders to our clients and explain the procedure
  • Lobby: to insure the availabilities of the boardroom and viewing rooms and keep the public and internal areas clean and tight
  • In charge of the Info Switzerland General mailbox
  • Able to handle easy registration (live & online) both on site and remotely. Taking care and address when necessary to the senior SO of all the live and online presale service needs for CEMEA sales
  • Create and update client profiles on COS.
  • Cashier and Collection: in charge of the petty cash for payments made in house, including the aftersale payments and handle pick up requests from in house clients
  • Hotel Collaboration: to negotiate the annual hotels rates with the hotels we collaborate with, liaise with the appropriate stakeholders for clients and collaborators hotel bookings and along the year via Egencia processes. Ensure availability on the Egencia platform for the international staff that comes during our biannual sales
  • Other duties as assigned by Manager

Stock and Inventory clearance:

  • Follow Inventory clearance process to contact clients regarding items marked for clearance
  • Check and manage payment status
  • Request site transfers and shipping costs, where appropriate, in the event of returning property to client
  • Report to the Inventory Control Coordinator on regular basis
  • Arrange payment for any unsettled charges and complex client queries outside of clearance process
  • Update Christie's client system with results of client contact and update CTL
  • Comply always with Christie's policies on data protection & client confidentiality
  • Pull out reports form Tableau (enterprise system used to manage Christie's Inventory) systems and analyse the data accordingly
  • Strong ability to address any client queries and escalate issues as appropriate
  • Keep detailed & accurate statistics on client contact & other tasks involved in the project, whilst providing regular reports to line manager

  • Experience: in the service industry
  • Languages: English / French fluent
  • Skills: excellent presentation, sociable, openminded, responsible, wellorganized, stress resistant, proactive behaviour, autonomous, deadlineoriented, good knowledge of office 365 and windows 10
