As a Partner Operations Coordinator, you will support the planning and delivery of the TOP Partner contractual assets and entitlements for the Olympic and Paralympic Games.


Main responsibilities
TOP Partner Contractual Assets Coordination

  • Responsible for tracking the contractual assets of the TOP Partners including but not limited to accommodations, tickets, hospitality, transportation and accreditations
  • Monitoring timelines and deliverables as it relates to TOP Partners programs
  • Support the Senior Partners Operations Manager in the processes involved with the allocation of entitlements when required
  • Running reports from the relevant platforms for information sharing requirements
TOP Partner Games Operations Planning & Delivery

  • Have a full understanding of the Games venues, hotel properties, transport service and other elements related to TOP Partner operations
  • Participation in relevant IOC Reviews for sessions related to TOP Partners
  • Working closely with the IOC Partnership Managers to become familiar and support the TOP Partner programs as they are developed
  • Relationship management with the counterparts at the Organising Committees responsible for the delivery of the TOP Partner assets
  • Participation in the Front of House Hospitality Working Group on behalf of TOP Partners
  • Will be assigned as lead for particular areas of operations for the Paris Olympic and Paralympic Games
  • Close collaboration with the International Paralympic Committee counterparts
TMS Departmental Coordination

  • TMS Corporate Hospitality:
  • A core team member responsible to deliver the activities linked to a corporate TMS Gamestime hospitality programme including; maintaining a guestlist, sending invitation letters, tracking assets, organising meetings, ensuring timelines are adhered to etc).
  • Olympic Produced Content (OPC):
  • Define a process to allow for efficient and consolidated updates to be made to the OPC tracker. Working with relevant functions to establish which content should be being archived for their respective departments coming from the OCOG. Ensuring that the correct and accurate documents are being collated and archived to aid with the education and training for future OCOGs and internal referencing.
  • IOC Suppliers:
  • Similar with the processes regarding TOP Partners, responsible for the tracking and ensuring delivery of contractual assets
  • Other:
  • Ad hoc administrative support including but not limited to: coordination of meetings and meeting agendas, organisation of travel to Paris & Milan (transport and hotel bookings), creation of PowerPoint presentations if required, management of the TOP contact list

Our requirements

  • Previous major events experience, including planning and onsite operational delivery
  • Proficient in Excel and spreadsheet management for data tracking purpose
  • Past client servicebased roles in a corporate/agency/property environment
  • English fluency both spoken and written; French and/other language an asset
  • Excellent command of the corporate tools and ability to follow the internal user rules (Outlook, SharePoint, Teams etc).
  • Diligent and organised with an attention to detail.
  • Ability to foresee challenges and opportunities
  • Excellent project management skills with a systematic and pragmatic approach
  • Proven relationship management and interpersonal skills
  • Excellent communication and presentation skills, both written and verbal, ability to put ideas or facts in writing concisely and precisely so as to be clearly understood by all kinds of interlocutors in various cultures, ability to present to varied audiences with impact.
  • Energetic, enthusiastic with strong leadership, teambuilding who can combine these with strong business discipline and decisiveness
