Administrative Assistant - Job description

Position summary


We are looking for an Administrative Assistant to assist our Education and Institutional Partnership team on administrative, operational and research tasks.


The Administrative Assistant will be responsible to follow all administrative tasks related to Homo Faber Fellowship program including administrative data and document collection, contract preparation and signature tracking, file documents, travel bookings, rooming list preparation and various research and data inputting on the Foundation's database for the Education and Institutional Partnership department.


Main responsibilities

  • Assist on operational and administration tasks such as data and document collection and verification, filing and organizing documents, data inputting in our database, making travel arrangements, interacting with suppliers and key stakeholders, elaborating task lists and schedules, presentation preparation.
  • Identifying potential future participants to Homo Faber Fellowship and presenting the program in writing and on calls.
  • Research for background checks on specific organizations and individuals.

Required Skills:


  • Experience/training in administration
  • Very detailed and service oriented
  • Autonomous and proactive with an ability to multitask
  • Effective communicator and able to adapt to different audiences (from established companies to students)
  • Fluent in English (as all communication with stakeholders are in English) and French, any other language abilities would be an asset (especially Spanish)
  • Computer skills (MsSuite, Salesforce)
  • An interest in arts, craft, design, education sector would be an asset
