The Operations Lead is a 3-year contract position renewable depending on funding and satisfactory progress.


The Operations Lead is a key member to the Women's Health initiative and will oversee key activities for the team.


Reporting Lines & Interactions:
The role will report to the Head of Women's Health.

Internally, this person will work with colleagues from across the organisation to ensure content, strategy, and coordination of the operations for Women's Health.

Breakdown of main responsibilities

  • 40% grant process planning and management, including donor relationship, direct funding results framework and tracker, grant reporting, resource planning
  • 30% compliance and legal operations, planning and management
  • 20% digital platforms strategy and management
  • 10% Support Head of Health and Healthcare Centre and Head of Women's Health with organisational and team management

This role will entail following duties:

  • Responsibility for all donor reporting requirements, financial reporting, and preparations for financial audits in collaboration with the Forum's Finance and Direct Funding teams
  • Responsibility for the impact and results framework and progress reporting to donors in collaboration with the Board and the Head of Women's Health
  • Serving as a key contact with donors
  • Planning, managing and tracking total project budget and expenses to ensure project stays in line with budget; prepare documents needed for disbursement requests on time
  • Managing master agreements and contracts with key consultants and grantees, in alignment with agreement requirements and conditions
  • Ensuring procurement processes, Request for Proposals (RFPs), vendor contracts and all invoicing is executed in line with the project budget, Forum and donor requirements; strengthen processes as beneficial to the project
  • Working with the Head of Women's Health to track the overall project workplan, including action tracks workplans with the rest of the Women's Health team
  • Responsibility for developing, managing, and maintaining the internal and external digital platforms for Women's Health, including microsite, Toplink and SF
  • Work closely with Health and Healthcare Centre and Head of Women's Health supporting overall operations and processes for Women's Health
Preferred requirements and experience

  • Master's degree in business administration, public finance or equivalent
  • A minimum of 5 years' professional experience in a relevant business or notforprofit organization including consulting or academia
  • Experience of working on grantfunded projects
  • Outstanding organization and time management skills
  • Strong partnership and project management skills, with experience in preparing and overseeing project work plans
  • Accounting skills with strong experience preparing budgets, forecasts and reports
  • Quick learner, selfstarting, service and detailoriented, and able to work independently as well as in a team
  • Strong problemsolving, analytical and synthesizing skills, and the ability to communicate complex information succinctly
  • Willing to work in a highly demanding environment and ready to juggle multiple priorities with high degree of flexibility
  • Fluency in English; working knowledge of one or more
