For one of the biggest International Organization, we are looking for a


Secretary (temporary assignment):


Your challenges

  • Provide administrative and logístical support to the Covid19 Response projects and other geographical indications (GI) related projects. Perform administrative support functions for the conclusion and management of contracts relating to those projects, including making travel arrangements for missions, costs estimates, draft memoranda, invitations, correspondence, publication and distribution of documents and following up on administrative actions
  • Perform administrative support functions for meetings, conferences, workshops and other events and trainings, including making travel arrangements for missions, costs estimates, draft memoranda, invitations, correspondence, publication and distribution of documents and following up on administrative actions
  • Prepare and manage diversified volume of correspondence and documentation related to Covid19 Response projects and other GI related technical assistance activities; implement internal procedures and tracking systems, remind priorities, recommend and follow up on deadlines, and coordinate responses; undertake research and provide background information, as appropriate
  • Assist the Director and other members of the team in verifying completed work and carry out quality control of all outgoing documents, ensuring accuracy and adherence to organization standards; provide informal translations
  • Perform other related duties as required

Your skills

  • Completion of secondary education.
  • At least 5 years of administrative and general office support experience

Experience in UN system mandatory:

  • Excellent knowledge of English and good knowledge of French or Spanish
  • Ability to work within the applicable rules, regulations, policies and procedures
  • Knowledge and understanding of administrative activities typically within support areas such as Finance, Budget, Procurement, Travel, etc
  • Excellent organizational and analytical skills
  • Ability to work with minimum supervision
  • Excellent project management skills
  • Good drafting skills and ability to work with a high degree of accuracy and attention to detail
  • Discretion and a sense of protocol, good judgement and initiative
  • Excellent communication and interpersonal skills and ability to maintain effective partnerships and working relations in a multicultural environment with sensitivity and respect for diversity
