Job Summary:


Key Responsibilities:


  • Provide sophisticated proactive calendar management for the Chairman ensuring efficient scheduling and organization of meetings and appointments.
  • Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth daytoday engagements.
  • Act as a liaison and provide support to the Board of Directors.
Arrange and handle all logistics for Board meetings and events:
schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes.

  • Attend meetings, take notes, and produce detailed minutes. Follow up on action points with relevant stakeholders.
  • Organize and manage all personal and professional travel arrangements for the Chairman, including lodging, transportation and itinerary planning. Anticipate and coordinate pointtopoint travel needs.
  • Prepare and compile documents for meetings and business trips; manage communication and followups.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Chairman.
  • Provide oversight and guidance to projects of high importance, and follow up on the progress to ensure deliverables are met.
  • Prepare and edit correspondence, communications, presentations, and other documents on behalf of the Chairman.
  • Manage, coordinate, and arrange the Chairman's personal appointments and schedules.
  • Represent the Chairman by welcoming visitors, arranging company dinners and others.
  • Facilitate smooth communication between the Chairman's office and internal departments; demonstrate leadership to maintain credibility, trust, and support with management staff. Answering questions and meeting requests directed to the Chairman.
  • Conduct research, assemble data, and analyze information to prepare reports and documents. Manage projects and follow through with key stakeholders to ensure timely completion.
  • Uphold a strict level of confidentiality and discretion.

Qualifications:


  • Willingness and motivation to relocate to Switzerland.

  • Experience as an Executive Assistant, preferably within the trading or financial sector
- strong understanding of German and Swiss legislation and tax law to assist in ensuring that business operations are compliant with all legal requirements.

  • Outstanding organizational and time management skills.
  • Discretion and confidentiality at the highest level
  • Proficiency in Microsoft Office Suite and experience with virtual meeting technology.
  • High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, and clients.
  • Aptitude to learn new software and systems
  • Flexible schedule, with the ability to work overtime as needed.
  • Strong decisionmaking ability and attention to detail.

Preferred Qualifications:


  • Bachelor's degree in Business Administration or a related field.
  • Experience working internationally or with a diverse, multilingual team.
  • A proactive approach to problemsolving with strong decisionmaking skills.
  • Professional appearance and the ability to represent the Chairman in various forums.
  • Experience in the trading sector or related financial industries.
  • Demonstrated ability to think critically and with discretion when evaluating matters pertaining to the Chairman's agenda and company operations.
