For our client, an international orientated company in Rotkreuz, we are looking for a reliable and motivated (M/F/d)


Administrative Team Assistant Business Support 60-100%:


AUFGABENBESCHREIBUNG:


  • Scheduling and coordinating onsite/offsite meetings and/or larger events
  • Coordinating domestic/international travel
  • Create/cocreate and channeling teams' communication and/or materials
  • Coordinating and managing department/functional interview scheduling, office moves, office supply management and vendor relationships
  • Independently manage HCP & HCO administrative support with internal and external stakeholders
  • Provide support on editing and formatting executivelevel presentations, reports and other legal and business documentation, compile highly confidential business and financial information if required
  • Partner flexibly with other teams based on demands and with other assistants on a routine basis.
  • Demonstrating flexibility, adaptability and positive demeanor in the face of change; provide backup support to teams outside of own work area and across departments, as necessary
  • Promote new ways of working, improvements in work processes and foster an exchange of ideas and support among colleagues
  • On/offboarding activities (incl. farewell organization acc. to internal guidelines)
  • Creating and submitting purchase orders and compiling expense reports
  • Purchase orders and vendor management as defined
  • Time data management (corrections, piquet entries, general inquiries)
  • Access management
  • Organization/Procurement of employee giveaways
  • Ordering of office supply as needed
  • Support specific project work on special request
  • Other duties as assigned by head of business support
  • Provides backup support to head of business support/executive assistant

ERFORDERLICHES PROFIL:


  • Commercial training or similar education
  • 35 year experience in administrative activities
  • Good German & English skills in written and spoken, French or other languages are a plus
  • High ITaffinity (Google, Microsoft Office, Gsite, etc.)
  • Organizational talent, proactiveness, independent and structured way of working, enthusiasm, reliability and discretion, excellent communication skills and sociability, problemsolving orientation, quick comprehension, forward thinking
  • Start: latest
  • Enddate: 1 year after start extension possible
