About the Embassy


The British Embassy, Berne is part of the UK Foreign, Commonwealth & Development Office's world-wide diplomatic network, representing British political, economic and consular interests overseas.

We are looking for a motivated, customer-focused individual, with people management and leadership skills, to act as the Deputy Corporate Services Manager for the Embassy who can take on a range of corporate and administrative tasks in support of our activity throughout Switzerland and Liechtenstein.

Main duties and responsibilities:


Corporate Services:
(Approx 75%)

  • Supporting the Corporate Services Manager with his people management and team leadership responsibilities, including overseeing the contracted facilities management staff, ensuring the smooth running of the Ambassador's official Residence, acting as alternate Secretary for the Embassy's Corporate Board meetings as required and advising the Ambassador and Deputy Ambassador on corporate issues, including budgeting;
  • Perform specific management related duties which should include budgeting and forecasting, preparation of monthly payroll, liaison with federal, cantonal and other host country authorities to ensure the smooth functioning of the Embassy in compliance with local regulations and legal obligations;
  • Provide support to colleagues across the embassy especially with procurement and invoicing according to internal standards and criteria;
  • Undertake training to familiarise yourself with British Government/ Foreign, Commonwealth & Development Office IT systems, HR processes and other procedures to provide required support to the Embassy teams and UK diplomats in Berne;
  • Liaison with inhouse and local contractors to ensure effective and efficient project management where required.

Embassy IT
(in conjunction with the Deputy IT Support Officer and the FCDO's central on-line helpdesk):(Approx 25%)

  • Provide first level onsite IT support;
  • Act as the gateway for all staff to the second and third level IT support in the UK;
  • Manage local IT infrastructure, including desktops, laptops, printers, scanners, iPhones, telephones, video conferencing equipment etc.;
  • Ensure compliance with IT Security Procedures and establish IT contingency solutions;
  • Offer workshops, training sessions and adhoc guidance to help users to get the most out of the hardware and software provided;
  • Maintain and update the inventories for all IT equipment;
  • Manage the work and time of the parttime Deputy IT Support Officer, offering coaching and support in his development and assigning tasks as appropriate.
Essential qualifications, skills and experience


Required skills:


  • Professional experience of administration and corporate management;
  • Previous IT support experience in a corporate environment, such as installation and maintenance of desktops, laptops, mobile devices, server hardware and software;
  • Familiarity with both Microsoft 365 platform and Apple IOS systems (iPhone);
  • Strong numeracy, analytical and troubleshooting skills;
  • Ability to effectively communicate with internal and external stakeholders, verbally and in writing;
  • Ability to lead and work within a team, with strong customer focus skills and working unsupervised to meet deadlines;
  • Excellent organisational and time management and communication skills, attention to detail and good followup discipline;
  • Fluency in English (C1 level, spoken and written).
Desirable qualifications, skills and experience


Highly desirable skills:


  • Business fluency in German;
  • Experience of staff management and supervision;
  • Three or more years of prior experience in a similar field of administration.
