Executive Assistant to the CEO:
Reporting to the CEO, the position will serve as the gateway, managing daily affairs, synthesizing information, and prioritizing the CEO's time and attention.
You operate as a business owner, thrive in a fast-paced environment, and serve as a sounding board to the CEO.
The role would suit a Senior Executive Assistant with a passion for keeping everything organized, and with a strong sense of initiative and ownership.
Responsibilities include but are not limited to:
CEO-Office Planning
- Provide highcaliber administrative support to help the CEO execute company projects and goals.
- Maintain the CEO's complex and busy calendar and schedule; arrange travel plans, itineraries, documents, flights, accommodations, visas, etc.
- Monitor and triage incoming communications; draft timely, accurate, and appropriate correspondence; facilitate response or action as needed.
- Handle projects and communications by providing status updates and ensuring relevant stakeholders are included in meetings and communications.
- Oversee daily operations through collaboration with senior management; ensure execution of action items; help to prioritize competing demands.
- Facilitate daily meetings, lunches, and special events.
- Process expenses and invoices for payment; maintain accurate records on behalf of the CEO; assist with ad hoc projects and daily interoffice errands, including occasional noncompanyrelated tasks as required to ensure full daytoday support for the CEO.
Communication | Relationship Management | Events
- Follow up on contacts made by the CEO and support the cultivation of ongoing relationships.
- Communicate directly and on behalf of the CEO; serve as a key liaison to members of the Executive Committee, stakeholders, and employees.
- Work with the Chief of Staff in preparing the CEO's commitments (press, keynotes, etc.).
- Organize major events for the CEO and clients globally; work with Investor Relations to coorganize Roadshows and coordinate CEO attendance at the World Economic Forum and other platforms for global leaders.
What You Bring
- Commercial Degree, Bachelor's Degree, Management Assistant with a federal diploma, or equivalent.
- 10+ years of experience performing administrative duties at the corporate level; maturity, consistency, and professionalism are required.
- An upbeat, confident, motivated team player with a professional spirit and positive energy.
- Ability to operate in a fastpaced work environment; handle concurrent tasks and priorities with focus, composure, and grace under pressure.
- Flexibility to provide support during offhours as needed in an internationally operating CEO-Office and to travel occasionally.
- Attention to detail to ensure accuracy and quality of work. You look ahead, behind, and into everything.
- Excellent communication skills: You convey your points and relay information from others concisely; you build rapport and relationships through written and spoken interactions, addressing any confusion immediately.
- You have experience with the client service business and know how to kindly draw boundaries and suggest alternatives. Making people feel understood and important is second nature to you.
- Maintain confidentiality while working with sensitive documents; enhancing the company's respected reputation.
- Fluency in English; ideally good command of German.
