For an international organization, we are looking for an

Administrative Assistant (Native English speaker) at 80%:

Your challenges

  • Format and revise letters, reports, and other documents, including statistical tables, in both English and French.
  • Draft standard correspondence and basic documents in both languages.
  • Review documents prepared by others; proofread and crosscheck materials; correct correspondence and other documents for format, spelling, and grammar.
  • Aid professional staff in preparing documents for assemblies, specialized meetings, seminars, etc.
  • Provide secretarial and administrative support services for assemblies and certain specialized meetings.
  • Maintain an established filing system for the Documents Control service in both hard copy and on the server. Manage file retention in accordance with approved schedules. Sort and catalog documents before archiving.
  • Record minutes and maintain meeting records as needed.
  • Update and maintain divisional records and databases related to membership.
  • Support the archiving of official documentation.
  • Create and update mail merges for circular letters and various distributed documents.
  • Assist Language Services: Process monthly invoices from freelance resources, verify them against work logs, obtain approval from budgetholders, and forward to Support Services Division for payment.
  • Support Senior Language Revisers in managing incoming editing, translation, proofreading, and interpretation requests, including sending and receiving files to/from freelance translators.
  • Perform other duties as required.

Your skills

  • High school diploma or equivalent.
  • Minimum of two years' experience in a similar or relevant field.
  • Proficient in English (native proficiency) and proficient in French, with a good working knowledge of Spanish being advantageous.
  • Proficiency in Microsoft Office software, especially Word and Excel. Advanced IT skills are desirable.
  • Demonstrated organizational abilities; capable of efficiently managing a high workload and multitasking effectively.
  • Clear and concise written communication skills, along with strong verbal communication abilities.
  • Strong interpersonal skills; capable of working independently or as part of a team in a diverse, multicultural environment with respect for diversity.
  • Proactive attitude and a willingness to acquire new skills.
