Job Overview


This position is responsible for a broad range of high-level administrative duties supporting the Office of the CHRO, CFO, CLO, CDIO and CDTO.

The job holder will establish and maintain positive working relationships with function representatives and business leaders globally while ensuring strict confidentiality.


Main Responsibilities

  • Manage calendar and schedule of the assigned Clevels
  • Complete diary management, arranging and coordinating all internal and external meetings
  • Prepare and coordinate meeting materials, agendas, presentations, and minutes
  • Consolidate, edit, distribute, and archive executive level documents/ content (presentations, spreadsheets, etc.) for the function or key audiences
  • Take meeting minutes as per request
  • Travel and meeting arrangement including schedule and background material preparation
  • Plan and coordinate various events (function specific, e.g. leadership meetings, team buildings etc.), including vendor selection, designing agenda and taking care of logistics, onsite support during the event, as well handling of followups
  • Handling various adhoc requests and providing project support as needed

Skills and Qualification

  • 5+ years of experience as Executive Assistant
  • Preferably a bachelor's degree with major in Business Administration or equivalent experience
  • Experienced in working in a global business environment
  • Excellent knowledge of MS Office is a must, particularly proficiency of MS PowerPoint and MS Excel (including Worksheets, Graphics, Creating Formulas and performing Data Analysis, Creating Charts, Tables)
  • Basic Project Management knowledge is of advantage
  • Fluency in English and German both written and spoken is a must, any other language is an advantage
  • Selfstarting, with a high energy level, healthy degree of selfconfidence, assertiveness, and sensitivity
  • Proactive mindset with a pragmatic cando attitude
  • Supportive, approachable & strong team player
  • Trustworthy, and ability to deal with confidential matters
  • Able to work under time pressure and highly flexible
