Responsibilities and Tasks:
- Dealing with all operational aspects related to the purchase and sale of crude oil;
- Working closely with traders once deals are concluded;
- Ensure that all crude oil for the supply and trading are scheduled to the appropriate location, time and in accordance to purchase/sales contracts;
- Negotiating and coordination of various operational issues with Sellers/Buyers of crude oil;
- Coordination of activities of terminals/refinery and vessels regarding cargo transportation, loading/unloading and storage on a regular basis to ensure that all necessary operational information is passed on in good time and documentary requirements are met;
- Drafting of Sales/Purchase contracts of crude oil: ensuring that all obligations arising from the contract are carried out, and that any necessary requirements are complied with. Communicating with Sellers/Buyers regarding performance of Purchase/Sales contracts of crude oil and storage at terminals. Monitoring compliance with contracts;
- Drafting of letters of credit and verifying incoming letters of credit and other proves of purchase from Buyers. Coordinating opening of letters of credit with Financial department, Banks and Buyers ;
- Drafting letters of indemnity;
- Cooperating with Shipping Department regarding chartering & freight requirements;
- Make vessel nominations and monitor their progress;
- Appointing independent inspectors;
- Issuing and providing documentary instructions and requirements for cargoes to Sellers and terminals; checking incoming documentary instructions and requirements for cargoes;
- Providing insurance coverage's for cargoes (insurance policies and certificates);
- Negotiating with Sellers/Buyers regarding losses recovery;
- Entering all necessary information into software trading system correctly and in timely manner (deal transaction creation) in full compliance with the provisions of the internal CTRM instructions
- Aspect Work-Flow Instructions;
- Liaising with Finance Department on any queries related to operational costs and revenues;
- Issuing sales invoices, monitoring payments due dates and follow up with Accounting/ Treasury;
- Checking purchase/services invoices, booking into software trading system and allocating under appropriate Deal;
- Archiving of files and records in hard and software copies regarding crude oil and oil products deals;
- Covering desk in absence of one of Operations team members.
Applicants must have:
- Proficient English both written and spoken is a must
- Italian and Russian nice to have
- Experience in crude operations more than 3 years
- Knowledge of Aspect electronic archiving system or similar software is a must
- Swiss citizenship or Swiss permit (C, B, G)
Skills and abilities:
- Commercial acumen, problem solving and negotiation skills, and ability to build effective relationships with counterparties and suppliers
- Ability work under pressure and strict deadlines
- Very good numerical skills
- Accurate working style
