This role is situated in the Office of the Chief, Financial Resources Management Service, Division of Administration, United Nations Office at Geneva.

The Administrative Assistant will be reporting to the Chief of the Service.




Responsibilities:

Within the given authority, the Administrative Assistant will have the following duties:

HR MANAGEMENT:

  • Aids staff with queries regarding their entitlements, administrative procedures, terms of service, duties, and responsibilities.
  • Manages vacancy announcement files and tracks the status of announcements.
  • Monitors the staffing table and prepares statistical data/charts.

FINANCE AND BUDGET:

  • Assists in preparing financial and human resource proposals.
  • Monitors and adjusts expenditures as needed.
  • Collaborates with finance and budget staff on related issues.

ADMINISTRATION:

  • Drafts correspondence on administrative, financial, and personnel matters.
  • Coordinates with units and team members.
  • Performs various administrative duties as needed.
  • May mentor junior staff.

CONTRACT ADMINISTRATION:

  • Assists with contract administration between the UN and external contractors.
  • Audits contractors' invoices and processes payments.
  • Handles UN forms and permissions for staff.
Competencies

  • PLANNING AND ORGANIZING: Develops clear goals, prioritizes tasks, uses time efficiently.
  • CLIENT ORIENTATION: Establishes partnerships with clients, identifies their needs.
Education
High school diploma or equivalent.

Work Experience

A minimum of seven (7) years of administrative, finance, or HR experience is required.

Experience with the United Nations or similar organization is beneficial.

Experience with an Enterprise Resources Planning system is desirable.

At least three (3) years of staff administration experience is preferred.

Languages
English and French fluency is mandatory. Knowledge of another UN language is a plus.
