This position is located in the Executive Office, Division of Conference Management, Department for General Assembly and Conference Management, Geneva.

The Finance and Budget Assistant reports to the Budget and Finance Officer.


Responsibilities:

Within delegated authority, the Finance and Budget Assistant will be responsible for the following duties:

Budget:

  • Generates budgetary financing reports, including statistical/financial data for tables, charts and spreadsheets using BI reporting tool.
  • Liaises with Production and Support for cost estimates related to XB printing, timelines of printing services and invoice processing.
  • Monitors incoming correspondence related to the billing of extrabudgetary meetings.
  • Takes necessary action to update the information in DCM SharePoint.
  • Prepares billing documents in Umoja and liaises with FRMS for issuance of invoices.
  • Liaises with clients and FRMS regarding the receipt of payments.
  • Informs the Meetings Management Section (MMS) of the acceptance of the meeting.
  • Updates monthly financial reports by tracking of expenditures and clearing negative balances.
  • Prepares redeployments requests to clear negative balances in DCM's accounts and redeploys funds for various activities, as needed.
  • Prepares allotment advices and redeployments for DCM Revenue Account (10RCR).
  • Assists in the preparation of the Cost Plan for DCM Cost Recovery Activities (Fund 10RCR).
  • Obtains information from other offices, e.g., status of unpaid invoices and liaises with clients regarding the receipt of payments.
  • Reviews the list of unliquidated obligations and liaises with Administrative Assistants as to the status of liquidating outstanding obligations.
  • Reviews and processes invoices for payments.

General:

  • Maintains workload statistics for Contractual Work Unit.
  • Updates the information in DCM SharePoint for billing of XB meetings.
  • Provides general administrative support to the EO and DCM staff.
  • Performs other duties as required.

Education
High school diploma or equivalent.

Work Experience
At least three (3) years of experience in finance, budget, accounting, administrative services or related area is required.

Experience with the United Nations Common System is desirable.

Experience with Enterprise Resource Planning System, such as Umoja is desirable.

Experience in calculating costs for provision of intergovernmental meetings and conference is desirable.

Experience in finance and travel modules is desirable.

Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of another official United Nations language is desirable.
