Senior Administrative Assistant, Direct Procurement (m/f/d)

For Organon, this position provides direct administrative assistance to the AVP, Direct Materials and R&D Sourcing & Procurement within Global Procurement & Supplier Management (GP&SM).
The role will:
oversee the administrative coordination and execution of related activities required for the Direct & R&D Sourcing & Procurement Leadership Team including efforts related to scheduling, expense management, project oversight and other key activities ensure execution of organizational and leadership priorities and collaborate with administrative peers who support GP&SM leaders and other key stakeholders that partner with the function to achieve its mission.
The primary activities include but are not limited to the following:
Develop and manage annual schedules for the AVP and his direct reports
Capture notes, minutes and proactive follow-up on action items to ensure timely completion
Prepare agendas and support planning and execution of townhalls, off-sites, and events
Coordinate and perform multiple tasks while understanding the project principles and technical skills related to own work assignments.
Execute and review work priorities and activities with little supervision.
Produce / complete various work assignments requiring advanced analytical ability, independent judgment, creativity and problem-solving skills.
Schedule complex, multi-leg and international travel
Manage complex calendar and coordinate with other admins across organization and stakeholders to align on the calendar.
Help with coordination and scheduling of standard Department, Cross Department and General Staff meetings and Townhalls
Assist with job postings, scheduling interviews and responding to general onboarding issues/questions.
Manage distribution lists.
Prepare expense reports, purchase orders and payment requests in COMET – ensuring compliance to guidelines
Collaborate with admins supporting ELT+1 and partner LOBs/Functions across for scheduling or other leadership commitments
Supports and helps drive the use of Team Sites and Standard Work
Collaboration and Communication Skills must be at a level to effectively interact with Organon executives and internal/external clients both on-site and remotely to maintain workflow.
May be asked to help coordinate special projects across the broader Global Services and Organon organization.
Education :
Required: High School Diploma
Preferred: Advanced education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)
Required:
Successfully completed apprenticeship (“eidg. Fachausweis” or equivalent is a plus)
Minimum 7 years or more years administrative experience supporting a senior executive
Prior experience supporting an AVP is prefered
Advanced computer skills using MS Office (Outlook, Word, Excel, PowerPoint, etc.).
Excellent verbal and written communication skills
Demonstrated ability to work efficiently and to perform tasks at the same time, with minimum supervision in a fast-paced environment
Demonstrated experience problem-solving and proactive dealing with complex, ambiguous situations with diplomacy and tact
Experience supporting multiple people from all levels and projects simultaneously is preferred
Experience of working in a multi-national, multi-cultural environment on highly sensitive projects
Flexible, discreet, adaptable, ability to work under pressure and conscientious
Fluent in English and German, a further European language would be a plus
