Tasks:


Areas of Responsibility

  • Office and facility management
  • General team orientation
  • First point of contact external parties
  • Calendar management
  • Meeting and event coordination
  • Expense process
  • Shareholders and board members correspondence
  • First point of contact HR matters
  • Onboarding new hires

Duties

  • Perform administrative duties for Chairman and management team
  • Oversee Chairman and management team routines incl. organization of strategic workshops and team offsites
  • Lead Email handling/filtering for Chairman
  • Travel arrangements in accordance with company policy
  • Handle and approve company expenses in timely manner and in accordance with company policy
  • Coordinate organization of (advisory) board and shareholders meetings
  • Screen/direct phone calls and distribute post mail/correspondence
  • Handle administrative coordination of invoices/credit card
  • Ensure ESG for office management
  • Coordinate recruitment process for all functions


You are characterized by your initiative and your customer-oriented thinking and acting as well as your motivation and the ability to grasp facts quickly.

You have a networked way of thinking and are a self starter with a flexible personality. In hectic situations, you keep a cool head and act in a solution
- and customer-oriented manner. Thanks to your preparatory work, our team is well prepared for meetings and can focus on decision-making issues while you take care of the administrative workaround.


Requirements:


  • Completed vocational school, EFZ or Para-Legal.
  • Impeccable knowledge of Swiss German, German and English, both written and spoken; other language skills would be an advantage.
  • Very good knowledge of MS-Office 2016/365.
You have sound professional experience in a similar function. Ideally, you have already completed the advanced training as an executive assistant or are still in advanced training.

As a communicative, open-minded and yet absolutely discreet sparring partner|in, you act in a highly professional manner at all hierarchical levels.

You are extremely strong in organization, IT-skilled and absolutely independent.
