An exciting opportunity has come available for an Office Manager in our beautiful St Gallen office.

As an
Office Manager
, you will be responsible for the smooth running and coordination of the administrative activities. You will provide timely proactive support to the business within set deadlines in a fast-paced changing environment.

As a manager you will be responsible for general administration, purchasing, personnel, communications and accounts issues and the smooth running of the Swiss office.


Requirements for the role:

Confirmed experience in a Senior Assistant role or other strongly relevant experience

Completed vocational school, EFZ- or Para-Legal.


Duties:


  • Be the first point of contact for the office in person or on the telephone
  • Running of the Swiss Office
  • HSE, bills, post, general administration, maintenance and overseeing general office operation
  • Set up, maintain and evaluate the accounts with Swiss Suppliers
  • Plan, coordinate, prioritize meetings, diaries, and travel arrangements
  • Check deliveries and follow up payments to suppliers with the Finance Department
  • Planning and executing of office audits
  • Logistical Departmental support in all facets: raising shipping documents, liaising with international agents, tracking shipments
  • Building management liaising with Landlord's agent
  • Promotion of HSE and ensuring HSE requirement are adhered to
  • Responsible for the quality of service to internal and external clients including interested parties
  • Organize and coordinate the logistics of key events/workshops/conferences, office moves etc.
  • Ensure accurate and quality information flow: lean and timely communication among key stakeholders
  • Drive continuous improvement initiatives and bring proactive solutions to support decisions
  • Purchasing office supplies and equipment and maintaining proper stock levels
  • Maintaining the office condition and arranging necessary repairs
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Property management: first contact with vendors, suppliers, landlords and building management
  • Liaise with facility management vendors, including cleaning, catering and security services
  • Manage health and safety procedures
  • Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure
  • Processing invoices and managing office budgets
  • Any other duties deemed necessary, which are within the bounds of the incumbent's competence and function
