Position Responsibilities

Order To Invoice Management

  • Manage the information flow related to the processing of customer orders and invoicing (incl. the maintenance price, returns, and credit memos).
  • Manage the preparation of necessary documentation for the efficient, costeffective, and lawful execution of necessary activities, including shipping, commercial invoices, etc.
  • Execute the customer data creation in SAP supporting the team in the creation of approved Customer Master Structures
  • Provide guidance to the warehouse to ensure effective and timely execution of sales orders and ensure customers are informed regularly regarding product availability issues.
  • Manage consignment in storage locations to maintain a balance between product availability and working capital exposure.
Reporting and Analysis

  • Run backorder and stock reports as well as other Sales Reports used on a daily basis.
  • Analyze Product Availability gaps and report them to BESA Supply Chain.
  • Analyze consignment stock positions to offer replenishment options.
Tender Management

  • Support the local country tender management process by updating/translating documentation and managing alerts for published Tenders.
Process Improvement

  • Use all appropriate measurement tools that are necessary to monitor full conformity of service delivered; propose preventive actions to avoid nonconformity.
Support

  • Support other teams in case of discrepancies and information alignment (Finance, Mktg, Regulatory, Sales Ops, and Sales)
Experiences, Knowledge, Skills, and Abilities

  • Export Order To Invoice experience (minimum 2 years)
  • Excellent coordination and organization skills
  • Analytical & data mining skills with an eye for detail
  • Ability to work under pressure and tight timelines
  • Excellent communication skills (verbal, written, and listening)
  • Excellent knowledge of English and German. Another European language is a plus.
  • Computer literate with excellent MS Office and SAP skills
  • Quality Mindset with a strong desire to document and improve processes.
