This position is located within the Payroll and Payments Unit in Bangkok, as part of the Finance Section, Financial Resources Management Service, Division of Administration, at United Nations Office at Geneva.

The Finance Assistant will report to the Chief of Unit.


Responsibilities:

Under the supervision of the Chief of Unit, the incumbent will be responsible for the following duties:

  • Assists in verifying regular, off-cycle and correction payroll to staff members for their entitlements including salaries, claims and education grants.
  • Assists in reconciling payroll and payments related general ledger and vendor accounts.
  • Assists in processing payments due by the Organization and settlement of staff members entitlements.
  • Processes payment requests in connection with purchase of goods and services after ensuring compliance with all relevant rules and instructions, and proper documentation and certification.
  • Processes travel claims in conformity with travel authorization, ensuring compliance with relevant rules and instructions, and proper documentation and certification.
  • Reviews and processes outgoing financial authorization or incoming Inter-Office Voucher transactions from UNDP country offices, and submits relevant Umoja documents to the Supervisor or the Finance Officer for approval.
  • Reviews supporting documents of Fund Commitments received from other offices for approval by the Finance Officer.
  • Reviews and processes requests for billing to clients and prepares accurate monthly billing statements for each client for approval by the Finance Officer.
  • Processes applied deposits and refers unidentified cases to the Supervisor for advice.

Education
High school diploma or equivalent is required.

Job - Specific Qualification
Certificate/coursework/training in accounting, finance or directly related field is desirable.

Work Experience
At least three (3) years of relevant experience in finance, accounting or related area is required.

Two (2) years of relevant professional experience within the United Nations common system is desirable.

Experience in processing, verifying or reconciling accounts related to salary and payroll
entitlements within the United Nations common system is desirable.

Experience with payroll or finance modules of ERP systems, such as Umoja (SAP) is desirable.

Languages
English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required; and knowledge of French is desirable.
