Our Support Functions deliver services and make recommendations about ways to enhance our workplace and the culture of our organization.

Our Support Functions include HR, Finance, Information Technology, Legal, Procurement, Administration, Facilities and Security.

The Administrative Assistant will provide administrative support to the Global Regional Communications lead and regional communications team. You are responsible for providing comprehensive administrative support for the Associate Vice President and other members within the team.

You will need to be a self-starter who is able to proactively manage priorities and independently resolve issues is a key dimension of the position.

In order to execute these responsibilities, you will partner with many internal and external stakeholders and have the ability to integrate effectively and quickly with the other members of the team.

You will need the ability to adjust to constant and changing situations and the able to manage relationships with others.


Main Responsibilities:


  • Experienced in General Secretarial and Clerical duties.
  • Coordination and performance of multiple tasks while understanding the project principles and technical skills related to own work assignments.
  • Schedule complex, multileg and international travel in a thoughtful way.
  • Support members of the group and manage multiple calendars.
  • Produces and completes various work assignments requiring advanced analytical ability, independent judgment, creativity and problemsolving skills.
  • Schedules team and global functional meetings, events, seminars and training.
  • Prepares agendas, produces meeting minutes and tracks completion of agreed actions.
  • Supports the use of Team Sites, set up of sites, management and upload of documents, filings systems, monitoring of chats and conversations.
  • Supports with expense management, budget management and tracking.
  • Contracting, invoice, Purchase Order monitoring and processing, including quarterly accruals.
  • Communication Skills must be at a level to effectively interact with executives and internal and external clients both onsite and remotely to maintain workflow.
  • May coordinate special projects within the division and area.
  • Ability to work well under pressure with high level of confidentiality.
  • Preparation of PowerPoint slides as required by the team lead.
  • May assist with certain tasks related to social media. Training will be provided.

Qualifications, Skills & Experience Required

Your Profile:


  • Experience in supporting Executive level professionals.
  • Advanced skill set using MS Office (Outlook, Word, Excel, Power Point, etc.), setting up Collaboration sites, SharePoint and MS Teams sites.
  • Experience with tracking budgets and other operational measures.
  • Attention to detail and prioritization.
  • Ability to work independently.
  • Excellent communication skills both written and verbal.
