Context & Mission:


Médecins Sans Frontières is an independent, international medical and humanitarian organization that provides care to people in need, people affected by natural or man-made disasters, and victims of armed conflict, without discrimination and without regard to race, religion, creed or political affiliation (MSF Charter).


The fundraising unit within the MSF Switzerland Fundraising and Communications Department is responsible to ensure the financial resources to support MSF operations by developing and effectively implementing the MSF fundraising strategy to attract and engage donors and supporters to MSF's cause.

Over the past years, the fundraising unit has been investing in a new technological solution (DREAM) aiming at enhancing MSF's Switzerland fundraising performance through digital transformation.


We are seeking a skilled and adaptable project manager to step into this role during maternity leave of the current DREAM project manager.


Responsibilities:


  • Piloting a strategic project that aims at improving and optimizing the activities / processes and workflows within the fundraising department and its team, enabling a successful and smooth digital transition.
  • Ensuring the project's objectives are achieved within the scope, budget and time agreed upon.
  • Ensuring, with the support of the Business Process Officer, that key users' business requirements are correctly spelled out and translated into clear processes.
  • Planning activities and resources, both financial and human resources.
  • Organizing and motivating the transversal project team (fundraising, DSI, external
- provider)

  • Monitoring and keeping control on the budget all along the project life cycle
  • Ensuring the deadlines are met and global planning is respected.
  • The position cosupervises the project team (3 reports), sharing hierarchical responsibility for team management alongside the Fundraising Systems Manager that holds functional responsibility. This involves overseeing the project related operations of the team, providing guidance and support, and ensuring alignment with project objectives and plan. Additionally, the role involves collaborating closely with the Fundraising Systems Manager to ensure effective coordination and communication between hierarchical and functional aspects of team management.
  • Ensuring effective coordination with the IT project manager.
  • Orchestrating and coordinating a wide range of stakeholders (fundraising team, IT team, General Direction, Finance, Procurement).
  • Ensuring the solutions meet the needs of the final users and of MSF at large.
  • Ensuring final users' satisfaction by minimising uncertainty, avoiding any unwanted surprises, involving final users in the project as much as is reasonably possible and maintaining effective communication and keeping key stakeholders up to date.
  • Preparing all materials, managing reports and necessary documentation and minutes, and supporting the Project Sponsor to adequately report to the Steering Committee.
  • Analyzing and managing project risks: identifying and evaluating potential risks before the project begins, mitigating these or at least minimizing their impact through proper contingency plans.
  • Monitoring progress and analyzing both expenditures and team performance and efficiently taking corrective measures.
  • Arbitrating, finding solutions, and proposing alternative scenarios to adapt to a changing environment and new constraints.
  • Ensuring full compliance with the Project Management Office (PMO) and Information System Department methodologies, tools and standards.
  • Preparing the change for stakeholders, ensuring they are all engaged at best all along the project life cycle.
  • Ensuring post project running processes, support mode and costs are properly identified, documented, and validated.
  • Education_
  • Degree (Bachelor/Master) in Project Management, humanitarian or equivalent
  • Project management certification (PMP, Prince2, Hermes) or recognized project management curriculum
  • Experience_
  • 5 years experience minimum as a Project or Program manager
  • Experience in managing a CRM implementation a must, knowledge of MS Dynamics 365 an asset
  • Experience in working with multidisciplinary teams in international environments
  • Knowledge or experience of humanitarian sector a plus
  • Experience with private fundraising a real asset
