This position is located in the Legal and Policy Advisory Section, Human Resources Management Service, Division of Administration, United Nations Office at Geneva.

The incumbent reports to the Chief of the Legal Team under the overall supervision of the Chief of Section.


Responsibilities:

Within limits of delegated authority, the Legal Assistant will be responsible for the following duties:

  • Assist Legal Officers in dealing with cases of alleged misconduct, harassment, and other interpersonal grievances as well as with cases of private legal obligations (which includes dealing with inquiries from external parties such as lawyers, permanent missions, national administrations, and individuals). Monitors and updates the Case Management Tracking System (CMTS).
  • Provide logístical support for hearings and other meetings; selects and compiles relevant background materials; assists in the preparation of relevant documents, including submissions to the Management Evaluation Unit (MEU) and the United Nations Dispute Tribunal (UNDT) through the eFiling system and monitors deadlines.
  • Assist Legal/Policy Officers in the preparation of legal documents, reports and templates for electronic storage, access and circulation/publication, including document scanning and conversion.
  • Assist in the maintenance of a body of legal reference documents to ensure an easy and rapid retrieval of critical information; gathers and researches existing UN policies, legal opinions and guidelines pertaining to the interpretation of staff rules and regulations; review the material, assesses its relevance; prepares updates when necessary, in consultation with the Legal and Policy Officers, and ensures the distribution of the material within the Service; liaises with the Office of Human Resources (OHR) at HQ, if necessary.,
  • Create, as necessary, maintain and update internal databases; generates a variety of standard and nonstandard statistical and other reports from various databases; including for billing purposes. Monitor case management databases, manage paper and electronic files, ensure that correspondence and other documentation are appropriately filed, registered, and followed up as necessary.
  • Assist in conducting research on new technologies as requested; keep abreast of developments in the field; assist in testing and evaluating new products and technologies, liaise with ICTS Support Desk to resolve hardware/software problems.
  • Under supervision, review, verify and process legal instruments ensuring conformity to relevant guidelines and requirements.
  • Conduct final check for accuracy of a variety of specialized legal documentation, instruments, publications and related correspondence.
  • Provide general office support services; draft, edit, proofread and finalize for signature and/or process a variety of correspondence and other communications, schedule appointments/meetings.
  • Perform other ad hoc duties as assigned.
  • Coordinate and perform administrative services (e.g. leave recording, request for office supplies and equipment) and liaise with Director of Administration's office and counterparts in client entities and UNHQ.

Education
High school diploma or equivalent.

Work Experience
A minimum of five (5) years of experience in paralegal work, general office support or related area is required.


Out of the 5 years, two (2) years' experience acquired within an International Organization or in a private law firm is desirable.

Experience with online searching, maintaining, and updating databases is desirable.
