Our client is a global insurance group focusing on acquiring and managing life insurance policy portfolios. The globally diversified company looks after the risks associated with 3 million policyholders on three continents.

The group invests in systems, technology, and people, and their «agile» model of working breaks down hierarchies and empowers teams to make decisions.

For a newly created role in Switzerland, we seek a switched-on, ambitious executive assistant who relishes working remotely with teams on three continents and raising the bar on what great support looks like.


Executive Assistant

Flexibility to travel is required

You'll support the Group CFO and the Finance Managing Director (FMD) and work with other management members in a fast-growing, entrepreneurial setting.


The position requires frequent travel to London and can be executed remotely as long as you reside in the Greater Zurich area, have a Swiss residence and work permit, and are a holder of a Swiss or EU passport.

Alignment meetings with the CFO will mostly be held in Zurich.

Vital to the role is the ability to handle interactions remotely and professionally while managing a busy executive's day-to-day operations.

The role suits an experienced assistant who understands the complexities and landscape of a company that has grown out of its start-up phase and is on a rapid growth path.

Main tasks include but are not limited to
Executive Calendar & Meeting Management

  • Maintain the CFO & FMD superbusy calendar by managing time effectively. Both managers travel extensively, and diary changes will keep you on your toes.
  • Review daily schedules, meetings, and travel requirements to ensure business priorities are reflected while considering agendas, timezone sensitivity, and briefing requirements. Facilitate meetings with the wider team to align on priorities.
  • Organize virtual meetings, conferences, and business travel, including visa, accommodation, and logistics. Liaise with colleagues on budgets and contracts.
  • Prepare presentations, briefing notes, and documentation for CFO & FMD meetings and Board and Executive Committees, interact with stakeholders, and follow up on action items, ensuring CFO & FMD are properly briefed and prepared.
Communication, Organizational Alignment & Relationship Building

  • Proactively manage the CFO & FMD communications to drive activity and solve problems. Prioritize requests, determine when action is required, and provide insights and recommendations as appropriate.
  • Frequent travel to London Office enables building and managing relationships by cooperating with people at all levels, including the Board and their nonExecutive Directors, the Executive Committee, and the Group Finance and Investment teams.
  • Assist in driving cross‐company initiative, efficiently execute delegated tasks, and develop seamless processes for more efficient business execution.
  • Promote a collaborative and engaged culture across the organization. Participate in the assistants' network across all global sites and be a vibrant contributor by sharing your skills and talents as a backfill when peers go on holiday.
  • Provide support on special projects as needed.

Your Qualifications

  • B.A. or a Federal Diploma coupled with 8+ years of experience in a similar role; must be confident working with senior executives.

Business fluency in English, written and spoken; German language skills are mandatory (Level B2 or higher)
