Executive Assistant P&C and CA&C Vice Presidents, MENEAT & GTR

Job purpose:


To primarily provide a full administrative support service to the People & Culture and Corporate Affairs & Communication Vice Presidents of MENEAT & GTR.

The role will involve contact with a wide range of internal and external contacts as well as providing support on all corporate activities for both functions.


Key Responsibilities:


  • Perform administrative tasks (prepare presentations, correspondence, calendars, documents, charts; compose memos, expense reports, letters, etc.) on behalf of the P&C and CA&C VPs
  • Coordinate meetings, conference, seminar and worldwide travel arrangements
  • Organize meetings to meet organizer/participants requirements. Attend and take minutes/notes as required
  • Checking and processing invoices for approval & signatures
  • Maintain a comprehensive filing system
  • Ensure proper communication between P&C and CA&C VPs and other stakeholders through efficient management of mail, telephone, and verbal communications
  • Act as a partner to the P&C and CA&C VP at all times and be aware of business environment and needs
  • Undertake Special Projects as requested by the Management

Experience & Skills

  • Minimum of 5+ years of executive secretarial/administrative experience reporting directly to senior management in a multifunctional and multicultural work environment
  • Strong organizational, project management and problemsolving skills with multitasking abilities
  • Fluency in English and French written and verbal
  • Skillful handling of Microsoft Office (Window, Powerpoint, Excel, etc.)
